Snowdonia Challenge – Booking Terms & Conditions

These Booking Terms & Conditions apply to all bookings made for Snowdonia Challenge.

By making a booking, you confirm that you have read, understood and agree to these Terms & Conditions.

1. Booking Your Place

1.1 Your booking is confirmed once we have received the required payment and issued confirmation of your booking.

1.2 Places on Snowdonia Challenge events are limited and are allocated on a first-come, first-served basis unless otherwise stated.

1.3 You must provide accurate and complete information when booking, including your name, contact details and any information reasonably required for the safe organisation of the event.

1.4 Your place is personal to you unless we have agreed in writing that it may be transferred to another participant.

1.5 Participants must be over 18, have some hill walking experience and be able to navigate.

2. Event Information

2.1 Full event information, including the distance, route, meeting arrangements, timings, equipment requirements and any specific participation requirements, will be provided before the event.

2.2 Challenge events take place in an outdoor environment and routes, timings and arrangements may occasionally need to change for operational, environmental or safety reasons.

2.3 We reserve the right to make reasonable changes to the advertised route, itinerary, start/finish location, timings or event arrangements where this is necessary for safety, access, weather, environmental conditions, landowner requirements or other circumstances beyond our reasonable control.

2.4 Where a significant change is made, we will communicate this to participants as soon as reasonably practicable.

3. Participant Fitness and Health

3.1 You are responsible for ensuring that you are physically and mentally capable of participating in the event you have booked.

3.2 Challenge events may involve prolonged walking, hiking, running, climbing, uneven or steep terrain, exposure to changing weather conditions and other physical demands.

3.3 You should seek appropriate medical advice before participating if you have any concerns about your ability to safely undertake the event.

3.4 You must inform us before the event of any medical condition, injury, allergy, medication or other relevant circumstance that could reasonably affect your ability to participate safely or that our event team may need to be aware of in an emergency.

3.5 Providing medical information does not automatically prevent you from participating. However, we reserve the right to refuse or stop participation where we reasonably believe that continuing would place you or another person at unacceptable risk.

4. Safety and Participant Responsibilities

4.1 Your safety is a shared responsibility. You must follow all reasonable instructions given by event staff, guides, marshals, first aiders and other authorised representatives.

4.2 You must remain on the designated route unless instructed otherwise by an event official.

4.3 You must behave responsibly and considerately towards other participants, event staff, volunteers, members of the public, landowners and the environment.

4.4 You must not participate while under the influence of alcohol or recreational drugs.

4.5 We reserve the right to remove a participant from an event where their behaviour or condition creates a risk to themselves, other participants, staff, volunteers or members of the public.

4.6 If you leave an event before reaching the finish, you must inform an event official wherever reasonably possible.

5. Equipment and Clothing

5.1 You are responsible for bringing the equipment and clothing specified for your event.

5.2 Depending on the event, this may include suitable footwear, waterproof clothing, food, water, navigation equipment, a fully charged mobile phone, first-aid supplies or other safety equipment.

5.3 Event staff may carry out reasonable equipment checks where appropriate.

5.4 We reserve the right to prevent participation where a participant does not have equipment considered essential for their safety.

6. Weather and Environmental Conditions

6.1 Snowdonia/Eryri is a mountainous and changing environment. Weather conditions can change rapidly and may include rain, wind, fog, heat, cold, snow, ice and poor visibility.

6.2 We continuously assess conditions and may alter, postpone or cancel an event where we reasonably believe that conditions create an unacceptable safety risk.

6.3 Participants are responsible for arriving appropriately prepared for the expected conditions.

6.4 A decision to alter, postpone or cancel an event will be made with participant safety as the primary consideration.

7. Cancellation by You

7.1 If you need to cancel your booking, you should contact us as soon as possible.

7.2 Refunds and/or transfers will be dealt with according to the cancellation policy published for the particular event at the time of booking.

7.3 Where a cancellation charge applies, this will be reasonable and proportionate to the costs and losses we incur as a result of your cancellation.

7.4 Where appropriate and where operationally possible, we may offer a transfer of your place to another date or event rather than a refund.

7.5 If you simply choose not to attend an event and have not cancelled in advance, we will be unable to offer a refund or transfer.

7.6 If you are unable to participate because of illness, injury or another personal circumstance, please contact us as soon as possible. We will consider requests for transfer or refund on a case-by-case basis and in accordance with the applicable cancellation policy providing this is within one calendar month of the event.

8. Transfer of Places

8.1 Places may only be transferred to another person with our prior agreement.

8.2 The replacement participant must meet all eligibility requirements for the event and provide any information we reasonably require.

8.3 We may charge a reasonable administration fee for transferring a place where this is stated in the event information.

8.4 A participant must not sell or transfer their place without our agreement.

9. Cancellation or Postponement by Snowdonia Challenge

9.1 We reserve the right to cancel, postpone or materially alter an event where circumstances make it unsafe, impractical or impossible to proceed as planned.

9.2 This may include, but is not limited to:

severe or dangerous weather;

flooding, wildfire or other environmental conditions;

dangerous ground conditions;

route closures;

loss of access or permission;

instructions or restrictions from landowners or relevant authorities;

insufficient staffing or operational resources;

serious incidents or emergencies;

public health emergencies; or

other circumstances beyond our reasonable control.

9.3 Where we cancel an event before it takes place, we will explain the options available to participants. Depending on the circumstances, these may include transferring your booking to a rescheduled event or receiving an appropriate refund.

9.4 Where an event has already started, or where substantial costs or services have already been incurred, different arrangements may apply.

9.5 We will communicate any cancellation or postponement as soon as reasonably practicable.

9.6 In the event of cancellation by us we will not be responsible for any other costs incurred such as accommodation, transport etc.

10. Events Affected by Weather

10.1 We will not cancel an event simply because the weather is unpleasant. However, participant safety will always take priority over completing the advertised route.

10.2 Where conditions become unsafe during an event, we may shorten, alter, suspend or stop the event.

10.3 Participants must follow instructions issued by event staff in these circumstances.

11. Emergency Procedures

11.1 We will have appropriate emergency procedures in place for the event.

11.2 You acknowledge that outdoor challenge activities can involve inherent risks, including slips, trips, falls, adverse weather, difficult terrain, fatigue, dehydration, injury and delays in accessing emergency assistance.

11.3 If an emergency occurs, you must follow instructions from event staff and emergency services.

11.4 We may share relevant participant information with emergency services where reasonably necessary to protect your health or safety.

12. Liability

12.1 Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so.

12.2 Nothing in these Terms & Conditions excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded or limited.

12.3 Subject to the above, participation in an outdoor challenge event carries inherent risks and participants voluntarily accept the ordinary risks associated with the activity.

12.4 We are not responsible for loss, theft or damage to personal belongings brought to the event except where caused by our negligence or where we are otherwise legally responsible.

12.5 We recommend that participants consider appropriate personal travel, cancellation, personal accident and/or activity insurance where relevant.

13. Fundraising

13.1 Where an event is linked to fundraising for a charity, participants are responsible for complying with the fundraising requirements communicated by the relevant charity.

13.2 Any fundraising targets stated for an event must be clearly identified at the time of booking.

13.3 Unless specifically stated otherwise, the payment for your place is separate from any fundraising commitment.

13.4 If you are fundraising for a charity, you are responsible for ensuring that money raised is handled and submitted in accordance with the charity's instructions.

14. Photography and Filming

14.1 Photography and filming may take place during Snowdonia Challenge events for promotional, marketing and publicity purposes.

14.2 By participating in the event, you acknowledge that you may appear incidentally in photographs or video recordings.

14.3 Where we intend to use identifiable images of participants for promotional purposes, we will provide appropriate information and, where required, obtain consent in accordance with applicable data protection and privacy requirements.

14.4 If you do not wish to be photographed or filmed for promotional purposes, please notify us before the event.

15. Data Protection

15.1 We will collect and use personal information in accordance with our Privacy Policy and applicable UK data protection legislation.

15.2 Information collected during the booking process may be used to administer your booking, communicate important event information, manage safety and emergencies, and fulfil our legal and contractual obligations.

15.3 We will not use your personal information for marketing purposes where we are not legally permitted to do so.

16. Children and Young Participants

16.1 Where an event permits participants under the age of 18, additional requirements may apply.

16.2 A parent or legal guardian may be required to provide consent and accept responsibility for the young participant.

16.3 The minimum age and supervision requirements will be stated in the event information.

17. Environmental Responsibility

17.1 Snowdonia Challenge events take place in a special and environmentally sensitive landscape.

17.2 Participants are expected to follow the principles of Leave No Trace, respect wildlife, landowners and local communities, and take all litter home or dispose of it in designated facilities.

17.3 Participants must not damage vegetation, disturb wildlife or leave the designated route unless instructed to do so.

18. Complaints

18.1 We want participants to have a positive experience. If you have a concern about an event, please contact us as soon as reasonably possible.

18.2 We will investigate complaints fairly and respond within a reasonable period.

19. Changes to These Terms

19.1 We may update these Terms & Conditions from time to time to reflect changes to our events, legal requirements or operational procedures.

19.2 The Terms & Conditions applying to your booking will normally be those in force at the time you make your booking, unless a change is required by law or is necessary for safety or operational reasons.

20. Governing Law

20.1 These Terms & Conditions are governed by the law of England and Wales.

20.2 Nothing in these Terms & Conditions affects any statutory rights you may have as a consumer.
